Documents
Paperwork that fills itself in and comes back signed.
Pick a customer and a template, and Documents writes in what the suite already knows about them. Send it for signature, and the customer signs on their phone, in Spanish or English.
What it does for you
-
Templates that fill themselves in
Documents fills in their contact details, your own questions, their usual office, their next and last visit, and, for owners and admins, their latest invoice and balance. Type anything missing, or leave a line to fill in by hand.
-
Spanish and English
Write templates in either language. Dates are written out in the document’s language, like “1 de octubre de 2026”, and the signing page and emails follow the customer’s language.
-
Starter templates in both languages
A services agreement, an intake form, an appointment confirmation, a payment reminder and a direct deposit authorization, each in English and in Spanish. Owners and admins can change them or write their own.
-
AI, only if you want it
Ask the AI to reword a draft, like “make it shorter” or “translate into Spanish”, and undo if you don’t like the result. Or ask the assistant to prepare a document for a customer in one sentence. Everything else works without it.
-
Signed on the customer’s phone
The customer opens the link, reads the document, types their name, can draw a signature, and signs. You see it marked signed in your library without refreshing.
-
A certificate with every signature
The signed copy becomes the document’s next version, with a certificate page: the name typed, the signature, the date and time, the IP address and device, and a fingerprint that shows the document wasn’t changed. You both get a copy by email.
-
PDFs and email
Download or print any document as a PDF, or email it to the customer with the PDF attached, in your business’s name.
-
Saved straight from email
If your office email is hosted by Coastal Carolina Tech, one click on Save to Documents files an attachment in your library. When the sender is one of your customers, it’s filed under them.
-
One library for your paperwork
Upload PDF, Word (.docx) and Excel (.xlsx) files and find them by the words inside. Every change is kept as a new version. Scanned pages are kept too, but their words can’t be searched yet.
What counts toward your bill
Each file added to the library and made searchable, each document created, each AI rewrite or request to the assistant, each document emailed, and each document signed.
Your business gets 100 free actions a month, counted across all your apps, and each action after that costs $0.10.
Your starter templates are waiting the first time you open Documents.
